Bookkeeping Basics for Truckers: Track Every Mile, Keep Every Dollar

Most owner-operators can tell you their rate per mile to the penny — and have no idea whether they actually made money last month. Here’s the bookkeeping baseline every trucking business needs.
1. Track every expense, categorized
Fuel, maintenance, tires, insurance, tolls, truck payments, permits, phone. Every dollar categorized, every receipt kept. Uncategorized expenses are invisible profit leaks.
2. Separate business from personal
One business account. One business card. Mixing personal spending into the operation makes your books fiction and your taxes a gamble.
3. Know your P&L monthly
A profit-and-loss statement isn’t an annual tax ritual — it’s a monthly management tool. Revenue minus expenses, per month, tells you which lanes and clients actually make money.
4. Invoice like clockwork
Late invoices mean late pay. Process every load’s paperwork immediately: rate confirmation, BOL, delivery receipt — invoiced the same week, followed up systematically.
5. Capture every deduction
Fuel, maintenance, depreciation, insurance, per diem, phone, ELD subscriptions, professional services. Trucking has generous deductions, but only documented ones count. The IRS doesn’t accept “I think I spent…”
6. Budget and forecast
A realistic budget turns “I hope this month is good” into a plan. Forecast from your own history: which months dip, when insurance renews, when tires are due.
7. Know when to hand it off
