Document Management: The Paperwork That Keeps You Compliant

Nobody got into trucking for the paperwork. But paperwork is what keeps you legal, insured, and rolling — and what sinks carriers when it’s neglected. Here’s the paperwork that actually matters, and how to stay on top of it.
Permits: the alphabet soup
- IFTA (fuel tax agreement) — quarterly filings; miss them and the fines stack fast
- IRP (apportioned registration) — your cab card for running interstate
- HVUT (heavy vehicle use tax) — annual Form 2290; no stamped Schedule 1, no registration renewal
Each has its own renewal cycle. Miss one and you’re parked.
Insurance documentation
Your policies must be active and meet federal minimums at all times. Beyond the policies themselves: certificates on file, claims tracked, renewals never lapsed. One gap in coverage can end a carrier.
Driver qualification files
For every driver: CDL copy with expiration tracking, Medical Examiner’s Certificate, MVR, employment history, and road test records. DOT auditors ask for these first — disorganized files turn a routine audit into a nightmare.
ELD logs & Hours of Service
Electronic logging devices must be registered, working, and backed by supporting documents. HOS violations are among the most common citations in roadside inspections.
DOT audits: be ready before they knock
Auditors look for systems, not perfection. Carriers with organized records, pre-audit reviews, and someone who can answer questions pass. Carriers with a shoebox of receipts don’t.
